Building custom reports

The standard reports and CSV export are free for everyone. With Zillo Pro you can also build your own report — describe it to AI or configure it by hand, preview it, save it for reuse, and export it to CSV anytime.

Building custom reports

Your standard reports — Sales, Orders, Customers, Gift cards, Tickets, Vouchers, Memberships — are free for everyone, and so is exporting any of them to CSV from Reports. Zillo Pro adds a builder where you create exactly the report you want: choose the data, pick the columns, filter it down, and group it however helps you see what's going on.

The custom report builder is part of Zillo Pro. The built-in reports and their CSV export stay free, with or without Pro.

When to reach for a custom report

The standard reports answer the common questions. Build a custom one when you want something specific, like:

  • Gift-card revenue grouped by month, to see your seasonal pattern.
  • Customers who placed their first order in the last 90 days.
  • Orders above a certain amount, or from a particular sales channel.
  • Outstanding gift-card balance you still owe across all live cards.

Build one with AI

The fastest way is to just describe what you want in plain English and let Zillo assemble it.

    1. Open Reports → Custom report builder.
    2. Describe what you want in the box — for example, "monthly gift-card revenue this year" or "new customers in the last 90 days".
    3. Click "Build with AI". Zillo fills in the data source, columns, filters, and grouping for you.
    4. Tweak anything below the AI's first pass, then preview and save.

Be specific about the time frame and the grouping you want. "Ticket sales by week for the last 3 months" gives a sharper starting point than "ticket sales".

Or configure it by hand

Prefer full control, or building something the AI didn't quite nail? Set it up yourself.

    1. Pick a data source — orders, customers, gift cards, tickets, and more — and a date range.
    2. Tick the columns you want to see in the result.
    3. Add filters to narrow it down — status, source, amount, and so on.
    4. Optionally group by day, week, or month and choose a measure: a count of rows, or a sum of a money column like total or balance.
    5. Click Preview to check the result.
    6. Give it a name and Save so you can come back to it.

Grouped reports — like revenue by month — are calculated for you and show one row per period, which is exactly what you want for spotting trends and filling in a chart. Ungrouped reports show one row per record, which is better for digging into individual orders or customers.

Preview before you commit

The Preview button runs your report against your live data right away, so you can confirm the columns, filters, and grouping give you what you expected before you save it. Adjust and preview again as many times as you like — nothing is saved until you name it and click Save.

Save, reuse, and export

Saved reports appear in a list under the builder. From there you can:

  • Re-open a saved report to edit its columns, filters, or date range.
  • Download a CSV anytime — the export always runs your saved report against your current data, so a "last 30 days" report stays fresh every time you pull it.
  • Build a library of the reports you check regularly, instead of rebuilding the same view each month.

The CSV opens cleanly in Excel, Numbers, or Google Sheets, so you can hand it to your accountant or chart it however you like.

A custom report only ever shows your own store's data, and only the columns you chose. If you cancel Zillo Pro, your saved reports are kept safe but the builder and custom exports pause until you add Pro again — your free standard reports and their CSV export keep working the whole time.
