Importing gift cards in bulk

Need to hand out gift cards to a long list of people — a promotion, staff perks, customer thank-yous, or balances you're moving over from another platform? Instead of creating them one at a time, you can import the whole list from a spreadsheet. Each recipient gets a comped card (no charge to you) and the same branded email and wallet pass a paying customer would receive.

Bulk import is part of Zillo Pro. Selling gift cards on your storefront is always free — only the bulk importer requires Pro. You'll also need to be an owner or admin to run an import.

Prepare your file

Your file should be a CSV (a plain spreadsheet you can export from Excel, Numbers, or Google Sheets) with a header row followed by one row per recipient:

recipient_email,recipient_name,amount,message
ada@example.com,Ada Lovelace,50,Thanks for being a loyal customer!
grace@example.com,Grace Hopper,25,

The columns are:

    1. recipient_email (required) — where the card is sent.
    2. amount (required) — the card's value in dollars, e.g. 50 or 50.00.
    3. recipient_name (optional) — personalises the email greeting.
    4. message (optional) — a short note shown in the email. Leave it blank to skip it.

You can paste the rows straight in, or upload the file — either works.

Run the import

    1. Open Gift cards and click Import in the top corner.
    2. Pick the gift card product the cards are issued against. Its expiry rules apply to every card in the batch, so choose the right one (or set up a product first if you don't have one yet).
    3. Paste your rows or upload the CSV, then click Import & issue.

When it finishes, you'll see how many cards were issued. Any rows with a missing email or an invalid amount are skipped, not guessed — they're listed back to you with the row number and reason, so you can fix just those and re-import them. Good rows are never held up by a bad one.

Good to know

You can import up to 250 rows at a time. For a bigger list, split it into a few files and run them one after another.

Every recipient is emailed their card straight away, and each card carries a real, spendable balance — these are live gift cards, not drafts. Double-check your amounts and the recipient list before importing. You can void an issued card individually afterwards from Gift cards if you make a mistake, but it's far tidier to get the file right the first time.

If you only need to issue one card rather than a list, you don't need the importer — create a manual sale for your gift card product and mark it as a comp.
