Creating a manual sale

Record a sale you took off-platform, issue a free $0 comp order, or email a customer a pay-now checkout link — all from Orders → New manual sale. Manual sales are part of Zillo Pro.

Creating a manual sale

Not every sale happens through your storefront. A customer might pay you by bank transfer, you might want to comp someone a freebie, or you might just want to send a pay-now link so they can settle up. Orders → New manual sale handles all three, and whatever you create flows through Zillo exactly like a normal order — the gift card, ticket, voucher, or booking is issued and the customer gets their confirmation email.

Manual sales are part of Zillo Pro. Your storefront checkout works the same as always whether or not you're on Pro.

Create one

    1. Open the manual sale form. Go to Orders and click New manual sale.
    2. Pick the product and quantity. Choose any active product and set how many.
    3. Add the customer. Enter their email (required — that's where the receipt and any pay-now link go), and their name (optional).
    4. Choose how it's paid (the three options are below), then create the sale.

The three payment options

    1. Record as paid — the customer already paid you elsewhere (cash, bank transfer, an invoice you sent). The order is fulfilled straight away and the customer immediately gets their gift card, ticket, or other item. No charge is made through Stripe.
    2. Free / comp ($0) — a gratis order. The price is forced to $0, nothing is charged, and it's fulfilled immediately. Perfect for prizes, comps, goodwill gestures, and replacements.
    3. Send payment link — Zillo creates a secure pay-now link to your storefront checkout, emails it to the customer, and shows you the link so you can share it directly too. The order fulfils automatically the moment they pay.

Need a one-off price for this sale — say a negotiated rate or a variable gift-card amount? Use the Unit price override field. Leave it blank to use the product's normal price. (It's ignored for comp orders, which are always $0.)

Payment links need a connected Stripe account in live mode. If you're in Test mode or haven't finished Stripe onboarding, the link can't take a real payment — use Record as paid or Free / comp instead, since neither of those touches Stripe. Connect Stripe from Settings → Payments.

After the sale

Once created, the order appears in your Orders list like any other:

  • Record as paid and Free / comp orders land as Fulfilled right away.
  • Send payment link orders sit until the customer pays, then move to Fulfilled automatically.

If you ever need to reverse a manual sale, you refund it from the order page exactly like a storefront order — see Refunding an order.
